Role Description
The Administrative Assistant position delivers a first impression as clients enter the office; they are the “face” of the Moors & Cabot Keokuk team. This full-time role reports to the Branch Manager with additional feedback gathered from assigned Financial Professionals (FPs). Working hours are Monday - Friday 8:00 AM to 4:30 PM CST.
Role Responsibilities
Office Administrative (75%)
Contribute to the upkeep and image of the branch
Greet clients, stock kitchens, maintain cleanliness, etc.
Manage office supply levels and coordinate inventory ordering
Constantly ensure coverage of the reception area
Manage all phone lines for the office
Plan and arrange client meetings
Provide administrative support to assigned Financial Professional(s) and Branch Manager as needed
Collect, distribute, and send branch mail
Complete data entry projects, as assigned
May be asked to help facilitate firm wide initiatives or events at local branch level
Other duties as assigned
Financial Professional Team Duties (20%)
Create and submit monthly expense reports for Financial Professionals
Maintain accurate hard copies of client files for compliance and establish filing system
May be assigned to provide phone coverage or assistance to other branch Client Associates, as applicable
Maintain accurate client profiles in RBC and AOS
Document client notes in Redtail, as assigned
Adhere to and keep up to date on Compliance and firm policies and participate in firm sponsored trainings
Other (5%)
Take initiative in career growth by enrolling in Google Classroom courses and provided development opportunities
Be an active culture carrier within teams and contribute to a positive team morale
Key Measurements
Ability to build rapport with guests/clients
Accomplishment of annual organizational, team and personal goals as communicated by management
Revenue growth for the Financial Professional(s)’ business as well as overall growth for the firm
Activity volume measured from communications, workflow items, adoption of new tools and professional development courses
Minimum Requirements
At least 2 years of college education, or equivalent experience
At least 6 months working in a professional environment
Confident in using Microsoft Office Suite and Google Suite
Comfortable taking initiative and being part of a team
Ability to sit for long periods of time and lift at least 10 pounds

Bachelor’s Degree in Business, Finance, or related field
