Project Administrator - Entry Level


Overview: We are seeking a detail-oriented and organized individual to join our team as a Real Estate Project Administrator. In this role, you will be responsible for supporting the successful execution of real estate development projects by coordinating administrative tasks, facilitating communication between team members, and ensuring project timelines are met. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a keen eye for detail.


Responsibilities will include:

  • Review architectural/engineering plans and pull-out relevant scopes for bidding
  • Create and distribute RFPs to appropriate third parties and then organize and analyze proposals to assist with the selection of vendors
  • Screen proposals for accuracy and create bid comparison sheets
  • Draft contracts and project documentation
  • Work closely with project managers to track project progress and update project timelines as needed.
  • Collaborate with various stakeholders, including architects, contractors, and vendors, to ensure timely completion of tasks.
  • Assist in the coordination of site visits and inspections.
  • Material procurement
  • Create, monitor and update spreadsheets
  • Interface with contractors, architects, engineers
  • Scan and electronically file documents
  • Receive, review, and track invoices & payments
  • Assist Director of Construction in all aspects of construction project from planning to implementation
  • Perform property management tasks such as scheduling routine inspections or call/scheduling vendors to respond to property issues

Qualifications required:

Bachelor's Degree

  • 2 - 3 years' experience in construction and/or property management field preferred but willing to consider interns or recent college graduates
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
  • Proficiency of Microsoft Office
  • Ability to multitask and strong attention to detail
  • Ability to manage multiple projects, strong organizational and time management skills
  • Understanding and interpretation of basic real estate terminology
  • Ability to read and interpret floor plans & construction drawings
  • Deadline and detail-oriented
