The Senior Officer of Safety and Compliance will provide oversight of potential risk and risk mitigation throughout the organization and manage safety, compliance, and training. The Senior Officer of Safety and Compliance reports directly to our CFO and is responsible for working with divisions to ensure they comply with all local and federal state laws and regulations and company policies. Coordinates the preparation and completion of regulatory and compliance documents. Responsible for developing and distributing driver training materials which include onboarding, training and orientation, remedial training, and other DOT and FMCSA-required training. The position assists in ensuring we maintain our reputable safety scores. The position will also be responsible for maintaining compliant files and records and efficiently using Hours of Service. This position requires significant knowledge of various generally recognized workplace safety, transportation safety programs, and DOT and FMCSA regulatory compliance systems.


Responsibilities

  • Perform applicant checks (MVR, PSP, background check, FMCSA Drug, and Alcohol Clearing House)
  • Inspection of driver qualifications, company equipment, and contractor’s vehicles
  • Maintain DOT rosters for all authorities
  • Assist Fleet Manager with DOT inspection scheduling as needed
  • Monitor HOS and 150-mile radius driving/log; make corrections as necessary and retrain on usage
  • Monitor and oversee driver’s license and DOT card renewals and upgrade grading of credentials when presented
  • Build, monitor, and update driver audit files
  • Initial emergency response - minor claims, accidents
  • Network fleet speed monitoring and response
  • Follow accident procedures for incidents and serious/recordable accidents
  • Process titles, plates, registrations, and insurance for acquired vehicles.; all plate renewals.
  • Verify MC90 filings yearly for insurance renewals
  • Yearly DOT registration renewals
  • Maintain URC registrations, MCS 150 updates, and renewals, BOC-3 form maintenance
  • Plan and implement OHSA and Department of Transportation policies and programs
  • Monitor DATA Q files and FMCSA website information
  • Develop OCR 100 forms for MIOSHA reporting regarding injuries on OCR 300 report
  • Advise and lead employees on various safety-related topics
  • Prepare educational seminars and webinars on a regular basis
  • Work with fleet manager, mechanics, detailers, and drivers on vehicle maintenance and safety programs
  • Conduct risk assessment for the facility and off-lots
  • Enforce preventative measures
  • Monitor and verify that all the employees are acting in adherence to safety rules and regulations
  • Follow accident procedures for incidents and serious/recordable accidents
  • Investigate, prepare, and present reports on accidents, incidents, and violations with root determined causes; develop preventative measures/processes
  • Determine, prepare, and administer post-accident/incident retraining for employees collaborating with an appropriate department head


Desired Skills & Experience:

  • College Degree in related field and/or equivalent work experience in a similar role
  • Excellent communication skills-written, verbal and interpersonal and have the ability to work closely with line supervision and management to facilitate the training required in our organization
  • Should have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals, to write routine reports and correspondence, and to speak effectively before a group of employees
  • Must be proficient with computer and appropriate software
  • Experience in hazard assessment, accident investigation and controls
  • Understand Federal and State regulations and basic company safety policy terminology to communicate effectively with human resources, drivers and management
  • Sense of urgency and ownership regarding role and the needs of the department
  • Proficient  knowledge of MS Word/Excel
  • Intermediate data entry skills
  • Driver's License (CDL a plus), CPR First Aid/ AED Certification, NATMI Certification a plus
