Job Description

The Account Specialist coordinates internal customer account activities for select groups of Customers and assists Sales and Marketing Manager with special projects and customer/service support by performing the following duties:

Account Management:
* Enter new orders by 5:00PM daily and weekly by 5:00PM Friday.
* Process order amendments and expedites.
* Advise Customers on whether an expedite fee is to be applied or waived for certain orders that are outside of the agreed upon lead-times.
* Interface with Shipping department.
* Review Order Backlog weekly by 5:00PM Thursday resolving late shipment issues.
* Update Vendor sites/websites for select Customers, daily as needed.
* Process credit card transactions when necessary.
* Confirm Customer order price and delivery date to Customer within 24-hours of receipt.
* Respond to all correspondence (phone, fax or e-mail) within 24-hours of receipt.
* Investigate and resolve Customer problems with deliveries.
* Participate in meetings with Production Supervisors, Purchasing and Engineering to monitor order progress and resolve shortages or late shipment issues.
* Enter new Customer data and other Sales data for current Customers into computer database.
* Collaborate with Outside Sales Representatives on miscellaneous account activities.
* Prepare reports on Customer order history, processes, etc. as requested.
* Provide records/instructions for Customer account coverage by other Account Managers in the event of absence and/or vacation.
* Other duties as assigned

Sales Forecasting:
* Review and input forecast obtained from Customer or from Outside Sales Representative.
* Remove existing forecast as soon as a Customer Order is entered against it.
* Same day analysis of Customer forecast when orders are entered to guard against duplication of material planning. Account Managers will be accountable for maintaining the accuracy of Customer forecast entry and cancellation.
* Weekly review of assigned Customer's forecast by 5:0PM each Thursday ensuring the most recent data is visible.
* If discrepancies/anomalies are found in forecast the Account Manager is to contact the Customer for clarification/resolution.

New Sales Quoting:
* Initiate product price quotes in collaboration with Outside Sales Representatives or Sales and Marketing Manager.
* Update part price information in computer database based on new quotes/feasibility studies or periodic price change quotes.
* Review feasibility/quotes on new product until Customer PO is received.
* Analyze RFQs and make recommendations to the Sales Manager on the business case.
* Follow up on Customer PO to ensure project set up is requested

Service Pricing:
* Review and compile information regarding end of life on Production items.
* Work with Purchasing, Sales and Engineering to place items in CRM
* Review and implement price change over from Production to Service pricing.
