WE'RE GLAD YOU'RE HERE!The Meeting Event Housing Specialist acts as a team lead managing all aspects of event housing with Concessions Coordinator, Group Coordinator and Audit Coordinator. Consults with clients to create business rules and best practices that work best for that group and builds a web-site based on those rules. Works with hotels to quality check and manage contracted, reserved, and occupied rooms. Acts as expert on specific program issues related to inventory and housing billing. Monitors and manages timeline due dates, room block pick-up, attrition, concessions and billing details.

Scope

Manages the housing component of approximately 5-8 programs annually, with room nights counts as high as 100,000 on an annual basis. Responsible for managing room block, attrition, concessions and cancellation policies on programs with complex room requirements. Manages projects which include room block management for up to 90 hotels.

Responsibilities

  • 45% CLIENT CONSULTATION: Liaison between client and Housing/Customer Service Staff and hotels. Consult with client to create business rules and best practices that fit the needs of their event. Analyze prior years inventory and patterns and advises client on current and future years room blocks. Give recommendations to client based on pace reports, changes in bell curve and attrition risk.

  • 40% OPERATIONS: Manages the terms of the hotel contracts. Communicates contract requirements to appropriate internal departments and hotels. Manages suite assignments, requests for rooms outside of contracted block, and guest extension nights. Establishes sub-blocks and manages against main room block. Ensures source system is set up and website reads correctly. Analyzes and manipulates inventory to maximize client's room block and mitigate attrition. Confers with hotels on inventory requests and/or addendums. Collaborate with project team to meet client expectations and work through challenges. Takes on role of Project Lead on Housing Only business. Manage room list accuracy and delivery. Provide housing support on-site as needed.

  • 15% PROGRAMS AND TOOLS: Participate in team product development, establish and maintain knowledge of housing platform, computer programs, best practices and proficiency with all internal systems and tools

OTHER:This job function requires or may require travel to destinations worldwide, in support of client site inspections and/or program operations.

Qualifications

  • High school graduate or equivalent.

  • Working knowledge (2+ years experience) within Association and/or Corporate housing, customer service or registration environments Strong interpersonal communication and customer service skills.

  • Prior successful experience in developing and maintaining client relationships.

  • Experience/understanding of hotel contracts and hotel room blocks/concessions desired.

  • History of excellent client/participant interaction and strong knowledge of program/event management preferred.

  • Must be able to lead within a team as well as take initiative to offer and seek solutions; demonstrate a commitment to work quality, excellent client service delivery, proactive problem solving, personal development and continuous improvement, including leveraging new tools and technologies

  • Ability to analyze and manipulate data and create custom reports.

  • Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly.

  • Proven aptitude for technology and/or software solutions.
