Job Description

The role of Office Manager is to create and maintain a pleasant and flowing work environment, ensuring high levels of organizational effectiveness, communication, accurate electronic record keeping and coordination among departments. The ideal candidate will have prior experience as office or assistant manager working in an office supporting multiple levels of employees and multiple departments. We are a rapidly growing company, but in person you would have 6 people to oversee to start with, in addition to several remote departments to regularly communicate with.

Responsibilities include but not limited to:

  • Assisting all personnel in the Commerce City office of Buckley Fence in accomplishing all tasks to reach daily and weekly goals. Helping keep the whole team on track and operating smoothly.

  • Being a hub that takes the lead on regular, proactive communication among departments and team members, most of which are offsite.

  • Managing the entering of applicable information into Zoho CRM, and other platforms and services.

  • Lead the team in effective use of office equipment and software such as the Zoho system, spreadsheets, databases, etc.

  • Leading and scheduling physical inventory counts from the warehouse.

  • Coordination of hiring, training, and other HR needs with the HR department for Commerce City team and monitoring progress on new processes, procedures, and technology.

  • Addressing any conflicts, concerns, or issues that may arise within the Commerce City team or with other departments. Proactively handling any personnel issues that arise.

  • Assisting HR with any paperwork or other duties related to the Commerce City team.

  • Coordinating and executing Accounts Receivable and Accounts Payable.

  • Working as an intermediary to the accountant, as necessary.

  • Assembling small hardware and helping with tasks in the warehouse, when necessary.

  • Creating and maintaining an organized office environment, both physically and digitally. This includes digitizing and organizing documents.

  • Perform other office tasks: replenish office supplies, distribute mail, receive incoming deliveries, make sure the office space and warehouse space is cleaned and maintained to a high standard.

  • Act as receptionist to warmly greet and help anyone who comes through the front door, such as delivery people, customers, installers, dealers, etc.


Skills:

  • Proven experience as an Office Manager or related job.

  • Exceptional management and team leadership skills.

  • Strong proficiency with computer systems and ability to quickly master new technical and workflow applications in an environment of fast growth and change. Excited to help with rapid growth in the use of efficient software systems at the company.

  • Excellent time management skills and ability to handle highly varied tasks and prioritize work.

  • Passion for operations and problem solving, and creating changes to processes/procedures effectively.

  • The ability to follow through with implementation and distributing information throughout all departments and team members.

  • Excellent written and verbal communication skills. A proactive communicator that makes sure all people in all departments have all the up-to-date information they need.

  • Strong organizational and planning skills in an environment of fast growth and change.

  • Teamwork skills that extend beyond the immediate team and will include other departments.

  • Ability to quickly understand how all departments work with each other and the effect each department has on the integrity of the company and our ability to provide excellent customer service and reasonable customer expectations.

  • Consistently guides each member of the team based on their needs and personality.

  • Attention to detail and development of consistent processes are a must.

  • Enjoys being versatile and learning new tasks from A to Z.

  • Ability to lift 25 pounds.
