Position Overview:
We are looking for an experienced Office Manager to oversee the daily administrative, operational and planning activities of our office. The ideal candidate will play a crucial role in maintaining smooth business operations, ensuring efficient communication, and supporting various departments within the company. The Office Manager will report directly to the company leadership and collaborate closely with our project management and field teams.
Responsibilities:
1. Administrative Management:
- Streamline and optimize office procedures for increased efficiency.
- Manage office supplies, equipment, and maintain an organized work environment.
- Handle incoming calls, emails, and correspondence with professionalism.
2. Human Resources Support:
- Assist in the recruitment process by coordinating interviews and onboarding activities.
- Maintain employee records, including timekeeping and attendance tracking.
- Support employee relations and address basic HR inquiries.
3. Financial Management:
- Assist in invoicing, accounts receivable, and accounts payable processes.
- Collaborate with the accounting team to ensure accurate financial record-keeping.
- Prepare reports and summaries for management as needed.
4. Project Coordination:
- Work closely with project managers to ensure timely completion of administrative tasks.
- Assist in project documentation, including permits and compliance paperwork.
- Liaise with clients regarding project updates, schedules, and inquiries.
5. Customer Service:
- Provide excellent customer service by addressing client inquiries and concerns.
- Ensure timely and accurate communication with clients throughout the project lifecycle.
- Collaborate with the sales and marketing team for client relationship management.
6. Social Media Management:
- Develop and implement a social media strategy to enhance the company's online presence.
- Create engaging content for various platforms, including Facebook, Instagram, and LinkedIn.
- Monitor social media channels, respond to comments, and engage with the online community.
- Analyze social media metrics and adjust the strategy accordingly to increase reach and engagement.
7. Marketing Support:
- Collaborate with the marketing team to develop promotional materials and campaigns.
- Coordinate participation in industry events and community outreach programs.
- Contribute to the development of marketing collateral.
