Job Description

Our company is currently seeking ​an Office Administrator & Bookkeeper to join our team! Hours per week would vary between 30-40 depending on seasonal workload. 

Responsibilities:

  • Manage & maintain company's financial records, invoices, receipts, payments, taxes, payroll, job reporting, job costing, etc
  • Manage & maintain QuickBooks
  • Manage & maintain Definity (a proprietary company software for which training will be provided)
  • Bank deposits, reconciliations, daily ACH approvals
  • Typical office duties such as filing, copying, reports, records management
  • Mange insurance certificates & insurance audits
  • Process Miss Utility tickets daily or as needed.
  • Job estimating & customer proposals
  • Permit applications & inspection requests
  • Create Pre-production jobs & work orders and postproduction costing & reporting
  • Coordinate with external auditors for year-end audit processes
  • Develop and implement financial procedures to improve accuracy and efficiency
  • Assist in inventory management & material ordering
  • Assist sales & production departments as necessary
  • Check the accuracy of business transactions
  • Perform data entry and administrative duties

Qualifications:

  • Previous experience in office administration, accounting, finance, and related fields, with a focus on financial tasks.
  • Associates degree in Accounting, Finance, or related field
  • Strong Computer skills
  • Strong knowledge of general ledger reconciliation, accounting principles, tax regulations, and technical accounting standards
  • Proficiency in using QuickBooks software.
  • Proficiency in using Microsoft Office & Spreadsheets
  • Excellent organizational skills and attention to detail
  • Ability to prioritize tasks and meet deadlines
  • Strong communication skills to interact with staff at all levels within the organization
  • Positive attitude and professional demeanor
  • Fundamental knowledge of GAAP
  • Ability to prioritize and multitask
  • Strong organizational skills
  • Deadline and detail-oriented
