Job Description:

Position Overview: As an Administrative Assistant at Elevation Academy, you will play a vital role in ensuring the smooth operation of our coaching programs and administrative functions. You will be responsible for providing efficient and effective administrative support to our team, enabling us to deliver exceptional service to our clients.

Key Responsibilities:

Client Communication:

  • Serve as the primary point of contact for client inquiries, providing prompt and professional responses via phone, email, and in-person interactions.
  • Schedule coaching sessions, workshops, and appointments with clients, ensuring alignment with coaches' availability and program schedules.

Administrative Support:

  • Maintain organized electronic and physical filing systems for client records, program materials, and administrative documents.
  • Assist in the preparation and distribution of coaching materials, presentations, and reports as needed.
  • Coordinate logistics for events, workshops, and seminars, including venue booking, catering arrangements, and participant registration.

Calendar Management:

  • Manage coaches' calendars, scheduling meetings, appointments, and follow-up tasks to optimize their time and productivity.
  • Coordinate travel arrangements and accommodations for coaching team members as required.

Data Management:

  • Input and update client information, progress notes, and program data in our CRM system accurately and in a timely manner.
  • Generate reports and analytics on client engagement, program effectiveness, and other key performance indicators as requested.

Team Support:

  • Assist team members with administrative tasks, including expense tracking, document formatting, and general office management duties.
  • Collaborate with coaches and other staff members to ensure seamless coordination and execution of programs and initiatives.

Qualifications:

  • Exceptional organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Strong communication skills, both written and verbal, with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM systems or similar software.
  • Detail-oriented with a high level of accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Positive attitude, proactive approach, and willingness to adapt to changing priorities in a fast-paced environment.
