InterCare is searching for a Full-Time Patient Support Specialist to join our team! Schedule: Monday - Friday, 8am - 5:00pm


Performs a variety of clerical support functions for assigned clinical team(s), Provides Medical Records support.


Description of Primary Duties & Responsibilities

  • Preps for daily clinic schedule and for all patient walk-in’s/add-on’s.
  • Checks for and obtains all documents needed for the patient visit: hospital/ER visits, MCIR, diagnostics, and specialist reports. Follows up with phone call as needed to obtain documents.
  • Checks for and makes note to obtain missing UDS and CSA from patient.
  • Turns-on protocols for patient visit.
  • Runs DRVS report for assigned team huddle(s).
  • Acts as recorder for assigned huddle(s).
  • Performs scheduling function for follow up appointments upon discharge.
  • Makes appointments for follow up visits with PCP in EPM scheduling system as requested by provider
  • Schedules ordered diagnostic tests for patients upon discharge.
  • Handles paper and electronic document flow for clinic.
  • Files in electronic record or prints and distributes incoming faxes.
  • Processes incoming and outgoing records release requests
  • Processes requests for prior authorizations.
  • Matches and reconciles documents as directed.
  • Scans documents into the patient record and reconciles daily.
  • Scans or routes forms and documents for completion.
  • Updates protocols when results are received from outside providers.
  • Closes out open referrals and/or orders when document is received electronically or by paper.
  • Enter tests results in record when completing orders.
  • Communicates with patients via phone as needed and directed by team.
  • Assists team and clinic with routine and STAT requests for assistance as needed.

  • Ability to use clerical and numerical skills to perform job duties.
  • Ability to generate letters, forms, and documents.
  • Ability to perform data entry, run reports, and operate common office equipment.

  • Excellent written and verbal communication skills
  • Ability to communicate in a clear effective manner
  • Possesses cross cultural communication skills and the ability to communicate with patients and staff members at all levels

Physical Demands

Job duties are performed in the typical medical office environment of the organization. The environmental factors and/or physical requirements of this position include the following:

  • Ability to maneuver in clinic environment and frequently sit to work at computer.
  • Requires good hand-eye coordination, reach with arms & hands, and finger dexterity, including ability to grasp, and manipulate (using keyboard, office equipment).
  • Visual acuity to use keyboard, operate office equipment, and read printed material and regularly required to talk and hear.
