Overview

The Department of Human Resources is looking for a talented individual to join our Leave Management Unit as a Leave Management Specialist. This position is a great opportunity for a fast learner looking to continue to expand their knowledge of the continually changing landscape of Family Medical Leave (FMLA) administration.

The Specialist serves as the subject matter expert and is often the first point of contact for employees who are requesting a leave from work. Additionally, the position is a liaison between the employees, their supervisors and/or managers and the HR Business Partners who provide support for specified departments.With an average full caseload of 185+ cases, the Specialist will handle the lifecycle of their cases from intake. This includes eligibility checks, sending required notices, reviewing medical certification documents, making approval/denial decisions based on documentation. This position also provides guidance and support to managers and employees to address any inquiries or issues related to the designated FMLA.

This individual will be dedicated to providing excellent service and reliable administration as they support employees and supervisors with specific FMLA absence management needs. Under the supervision of the Leave Management Supervisor, the Specialist is responsible for administering FMLA qualifying absences, ensuring compliance and proper documentation of leaves in accordance with the Federal Family Medical Leave Act, VT Parental Family Leave Act, leaves of absence outlined in applicable Collective Bargaining Agreements, and State Policies and Procedures.

Duties include, but are not limited to:

  • Assess, adjudicate, and track all FMLA events, and usage.
  • Serve as the primary point of contact for managers and employees throughout the FMLA process.
  • Perform individualized leave assessments, resolve issues, and escalate cases as appropriate.
  • Monitor work queues appropriately and prioritize cases as required.
  • Manage extensive phone, email, and case management communications with employees and managers, with the ability to multitask across cases.

  • Ability to create and maintain professional relationships within all levels of the organization (peers, work groups, customers, supervisors).

The Department of Human Resources is currently supporting a hybrid work model. Requests for some telework each week will be considered. This Interim position is required to backfill a position that is temporarily vacated and is set to last through June, with possibility of extension.

Environmental Factors

Duties are performed largely in a standard office setting but with some predictable travel requiring the availability of private means of transportation. Some work outside of regular schedule may be required. Strong differences of opinion will be encountered.

Minimum Qualifications

Two (2) years or more of experience in human resources, or in an administrative role assisting with human resources functions.

Preferred Qualifications

Associate's degree or higher in human resources, business management, or related field.

Experience administering labor and employment laws and regulations such as the Family Medical Leave Act, VT Parental Family Leave Act, Americans with Disabilities Act of 1990 and/or the ADA Amendments Act of 2008, Workers' Compensation and/or labor contracts.
