Job Summary

This position is responsible for both the rendering of basic supervised nursing care to patients in support of the Physicians as well as accurate and efficient data/demographic information entry into software programs utilized by office and hospital. This position maintains accurate and up-to-date filing of patient data within the clinic chart to allow efficient review on-demand. During patient office appointments, this position serves to maintain quality patient care. Responsible for pleasant and effective communication with the public as well as assisting with timely and efficient scheduling of patient appointments. Responsible for collecting co-pays and other patient payments made in office. Responsible for ensuring and assisting with efficient patient flow throughout the clinic day.


Duties and Responsibilities

  • Performs administrative duties which include, but is not limited to: Collecting co-payments and other professional fees; scheduling patients’ appointments, obtaining prior authorizations, requesting and sending medical records as needed, phone calls to confirm existing appointments; sending insurance claims; making written patient financial arrangements, attempting to obtain payment and record such actions.
  • Answers phone – scheduling appointments, admitting patients into practice management software for appt with provider, verifying current billing and demographic information at each visit. Responsible for taking messages or refers incoming telephone calls to the appropriate administrative or clinical staff member for processing
  • Assists in scanning duties: Scanning documents into charts as needed and continuously re-files processed charts back onto file rack. Requests medical records for new clients as needed. Readies electronic charts for appointments as needed.
  • Keeps the waiting room clean. Straightens as necessary throughout the clinic day.
  • Assists in keeping clinical office inventory and notifies supervisor when supplies need to be ordered. Maintains inventory of necessary office supplies.
  • Handles cash, credit, or check transactions with patients; issues receipts and change due to patients; processes payments and establishes payments with usage of calculators and cash registers
  • Updates and maintains medical records in preparation for patient appointment, and is responsible for routing incoming patient data to Physician for evaluation/review, and to the Nurse for computerized update of clinical problem list.
  • Makes charts for new clients as needed. Make photocopies of records for consultations or referrals as directed by supervisor.
  • May order refills for prescriptions with the Physician’s permission and supervision.
  • Places patient in the examination rooms and prepares patient for appointment. Takes and records routine elements of systemic reviews: elements of patient’s history, elements of present illness. Takes vital signs of the patient.
  • Assists the Physician in procuring laboratory samples, per posted laboratory protocol.
  • Maintains inventory of necessary medical/examination supplies needed for each of the examination rooms. Restocking of examination rooms (per posted inventory list) will be done on a daily basis, more frequently as needed.
  • Straightens up examination rooms subsequent to patient examinations. Keeps instruments clean and ready for use. Prepares packs for sterilization.
  • Actively engage in quality improvement activities.
  • Performs other duties as assigned by the physician, midlevel provider, or administrative lead office manager.
Requirements:

Minimum Requirements

  • Must possess high school diploma or GED.
  • Clearance of all background checks.


Preferred Requirements

  • 1+ years of customer service and/or healthcare experience
  • Ability to speak multiple languages.

Physical Requirements

Perceive the nature of sounds by the ear, express or exchange ideas by means of spoken word, perceive characteristics of objects through the eyes, extend arms and hands in any direction, seize, hold, grasp, turn, or otherwise work with hands, pick, pinch, or otherwise work with fingers, perceive such attributes of objects or materials as size, shape, temperature, or texture; and stoop, kneel crouch, and crawl. Must be able to lift 25 pounds maximum with frequent lifting, carrying pushing, and pulling of objects weighing up to 10 pounds. Continuous walking and standing. Must be able to identify, match, and distinguish colors.
