Essential Functions


Processes bi-weekly payroll complete, accurate, and timely:



Poll electronic time clocks (E-time software) and review the downloaded information for completeness and accuracy.


Compile and accurately process other payroll data such as garnishments, vacation time, insurance and 401(k) deductions.


Contact various department supervisors for any missed times.


Process bi-weekly transfer of payroll data to PAYCHEX FLEX.


Review and have payroll approved by HR Manager.


Distribute Payroll checks to department managers.


Pull internal management reports from PAYCHEX FLEX HRO software.


Provide financial reports related to payroll and payroll deductions.


Address all employee payroll questions and concerns.



Administers health and welfare plans including enrollments and terminations. Benefit programs include: 401 (k) retirement plan, medical/dental/vision, short-term disability, long-term disability, workers' compensation, leave of absence, and flexible spending (Section 125).



Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serves as the Cobra Administrator for company.



Assists in conducting new employee orientations at headquarters to ensure employees gain an understanding of benefit plans and enrollment provisions. Counsel employees (and potential employees/applicants) on plan provisions so that individuals can make informed benefit decisions. This includes all levels of employees including executives.



Ensure employee understanding of benefit programs by, regularly generating communication and counseling employees/dependents as situations arise. Resolves employee complaints related to health and welfare plans, Refers difficult or very complex complaints to manager as needed. Acts as liaison with various insurance carriers and fosters effective relationships with client representatives. Acts as a resource for Payroll/HR contacts to ensure their understanding and compliance with benefit and HR policies and regulations. Keeps management advised of potential problem areas and recommends / implements solutions as appropriate.



Assists with annual open enrollment period during 4th quarter of each year. Arranges for distribution of materials from carriers, assists with, communicating changes to employees and arranges for on-site representation by providers, assists with employee presentations. Processes changes within deadlines.



Processes monthly billings from insurance providers. Reviews billings for accuracy, codes and advances for payment. Resolves discrepancies with carriers, payroll and the company. Completes reports for management as requested.



Assist in preparing government and other regulatory reports such as, but not limited to EEO compliance or other HR functions.



Assist in tracking and administering employee training program.




Ensure accurate and timely filing of all HR documents and maintaining complete confidentiality.



Other projects as assigned by the HR Manager.

Requirements

1. 2-3 years payroll and HR experience. 2. Able to maintain confidential information. 3. Strong knowledge of automated payroll software is essential (PAYCHEX FLEX preferred). 4. Proficiency in Word and Excel. 5. Clear written and verbal communications. 6. Able to organize and write procedures in a logical/methodical manner. 7. Time management skills. 8. Excellent attention to detail. 9. Work well in a team environment
