Job Title: Office Manager

Job Overview: We are seeking a highly organized and detail-oriented individual to fill the role of Office Manager. The ideal candidate will have a strong background in accounting, be proficient in QuickBooks and Excel, and possess excellent organizational and communication skills. The Office Manager will play a key role in overseeing day-to-day administrative tasks, supporting the financial department, and ensuring the smooth operation of our office.

Responsibilities:

  1. Financial Management:
    • Support the accounting department in processing financial transactions and oversight of the accounting processes.
    • Utilize QuickBooks to maintain accurate financial records, including accounts payable and receivable, budget tracking, and reconciliation.
  2. Administrative Oversight:
    • Oversee daily administrative tasks, including answering phones, managing emails, and handling correspondence.
    • Maintain organized and up-to-date filing systems for both digital and physical documents.
    • Support the HR department with document management, policy integration, recruitment, and on-boarding.
  3. Communication and Coordination:
    • Collaborate with various departments to facilitate effective communication and coordination.
    • Serve as a point of contact for internal and external inquiries, ensuring timely and accurate responses.
  4. Technology Proficiency:
    • Demonstrate advanced proficiency in Microsoft Excel for data analysis and reporting.
    • Utilize technology tools to streamline office processes and enhance overall efficiency.

Qualifications:

  • Education: High School diploma required; Bachelor's Degree in Accounting, Finance, Business Administration, or related field preferred.
  • Experience:
    • Proven experience in office management and accounting roles.
    • Proficient in QuickBooks and Microsoft Excel.
  • Skills:
    • Detail-oriented with a high level of accuracy in financial record-keeping.
    • Self-starter with the ability to work independently and prioritize tasks effectively.
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.

o Bi-lingual preferred
