Overview

The Executive Division of the Cuyahoga County Board of Developmental Disabilities (Cuyahoga DD) is seeking an Administrative Assistant who will perform a wide range of secretarial duties, some of which may be administrative or technical in nature. The nature of work will include, but is not limited to the following:

    Type reports, memos, forms, donation acknowledgement letters, and other materials that may be confidential in nature.
  • Work with various computer programs and databases.
  • Answer telephone and respond to emails; take and relay messages while maintaining confidentiality. Handle routine questions from Board members, staff, parents/guardians, and general public.
  • Assist with matters pertaining to Board business and Board meeting preparations using BoardDocs software at the direction of the Executive Administrator Supervisor (EAS), including preparing donation summary memo and meeting agenda items.
  • Receive, sort, and distribute incoming mail to the appropriate individuals.
  • Prepare materials, some of which may be extensive, for mailings. This includes photocopy and/or fax documents and distribute to individuals on and off-site.
  • Oversee agency bulk mailing and business reply mail accounts.
  • Maintain files, correspondence, reports, and other documents. Purge and archive files as needed; maintain accurate and detailed record of archived files for retrieval.
  • Assist with preparation for presentations and events as needed across various departments. May include securing room, arranging for food/beverages, sending out appropriate notices, taking meeting notes.
  • Order supplies for the Executive and Public Information & Communication Departments (PIC) Departments.
  • Serve as an active and participating member of the Donzella Building Emergency Response Team.
  • Provide backup coverage for the front desk switchboard, and mailroom at the direction of the EAS.
  • Perform other job-related duties as assigned or as needed when requested by the Superintendent and the EAS.

PERSONAL CONTACTS: Frequent contact with staff, parents/guardians, Board members, and general public.

Qualifications
  • High school diploma required; however, education in secretarial or business school beyond high school level desirable.
  • Minimum five years of secretarial or office clerical experience.
  • Minimum three years of data entry, word processing and/or computer experience.
  • Excellent keyboard skills.
