CMMS Administrator

The CMMS administrator reports to the Director of Engineering. This position will be accountable of managing the CMMS program, maintaining asset data accuracy and equipment hierarchy. The CMMS admin works closely with Facilities, Maintenance, Calibration and Engineering teams to maintain the plant’s asset master data in Blue Mountain including the preventive maintenance and calibration programs for the Englewood, CO site.

Essential Functions:

  • Primary responsibility for daily operation of the maintenance master data system, including data for equipment in the computerized maintenance management system (CMMS), currently Blue Mountain (BRAM), ensuring data records are current and accurate by ensuring all service activities and documentation is complaint with good documentation practices (GDP), quality compliance requirements, and applicable standard operating procedures.
  • Accountable for tracking and maintaining maintenance records for audit compliance in accordance with internal quality and external regulatory requirements.
  • Must follow up with technicians to ensure all due dates and documentation best practices are being followed.
  • Directly and indirectly responsible for all the daily maintenance master data submissions.
  • Provide expertise in the support of generating business processes to support unit by optimizing workflow to maximize data capture for asset life cycle management, data integrity, labor management and materials tracking and cost capture.
  • Provide regularly scheduled auditing of system operations for reporting negative trends and to supply tools and resources that promote continuous improvement.
  • Address problems that appear to arise from use of the data networks by scheduling and providing appropriate level of support required to resolve the problem.
  • Retrieve, analyze data, and develop reports from Computerized Maintenance Management Services
  • Improve user competencies (including “how-to” guidance, SOPs, training, job aids, etc)
  • Responsible of the development of the BRAM training modules
  • Develop, analyze and reporting facility’s KPI metrics to the management team, including past due equipment PMs and calibrations.
  • Develop and maintain accuracy of equipment metadata by regularly collecting and inputting information, such as manufacturer, model, serial number, and system structure information.
  • User Setup, Employees, Shifts, Crews, and Supervisors
  • Adding Equipment to PM Plans, Schedules, and Work Packages
  • Support management in the review of WO Data accuracy such as Equipment on WOs, Booked Hours (Employee and Vendors), parts usage, WO type, closing codes and WO Comments.
  • Responsible of the BRAM software lifecycle, including software applications issues and updates.


Experience & Necessary Skills:

  • Working knowledge of aseptic techniques and controlled environmental equipment/facilities.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
  • Organizational and documentation skills with the ability to identify adverse issues.
  • Excellent computer skills are required. Experience with BRAM and excel spreadsheets required.
  • Bachelor’s degree and or appropriate combination of experience and skills.
  • At least 2 years of cGMP experience preferably in facilities management
  • Physical considerations include the ability to work with or around equipment, climb ladders and stairs, and use PPE (Personal Protective Equipment).
  • Able to lift up to 25 lbs. and stand for extended periods of time when required.
  • Positive attitude and ability to successfully execute in a fast pace changing environment.
  • Overtime may be required during shutdowns, emergency situation, or periods of heavy workloads. Able to work evenings/weekends, as necessary, per maintenance scheduling.
