Performs a wide variety of functional administrative tasks in addition to clerical support for General Services organization. Responsible for basic office duties, coding/tracking/routing of departmental invoices, assisting Facilities Manager with various procurement and reporting tasks, as well as single point of contact for onboarding and offboarding for headquarters and remote locations. Tasks may also include coordinating routine activities within the department, with other departments or outside parties, or handling special projects as assigned by supervision.

What you will do:

  • Responsible for basic office duties, such as greeting visitors, distributing mail, answering and routing phones, scheduling internal and external meetings, data entry, and reporting.
  • Maintain departmental files and finish libraries
  • Coding, tracking and routing departmental invoices per budget
  • Assist Facilities Manager and departmental staff with procurement workflow activities including vendor setup, purchase order set up and processing, and procurement contract tracking and coordination.
  • Assist Facility Manager by pulling SAP reports to review and research budget variances
  • Assist Facility Manger and departmental staff in gathering, submitting and tracking monthly accruals
  • Tracking and reporting on active vendors and notifying Facility Manager when contracts are coming up for renewal
  • Assisting with special projects, such as process improvements and budget development.
  • Single point of contact for on boarding and off boarding for headquarters and remote locations
  • Departmental floor coordinator
  • Manage the General Services work order log and ensure requests are routed to the appropriate person and closed in a timely manner
  • Update departmental intranet site content and site menus, ensure content is being reviewed by Facility managers quarterly.
  • Assist Facilities Manager with miscellaneous departmental administrative support and coordination tasks, as needed.
  • Other duties as assigned

What you will bring:

  • Associate s Degree or equivalent work experience required, preferably in Facilities, Accounting, or related field
  • 1-2+ years in administrative or clerical function
  • Basic understanding of accounting

What will set you apart:

  • Knowledge of Service Now and Archibus a plus
  • Team focused; good organizational and interpersonal skills with a strong customer focus
  • Proficiency in Microsoft Office with strong skills in Microsoft Excel.
  • General understanding of Facilities Management

Base Salary Range

$46,100.00 - $63,425.00

The salary range above shows the typical minimum to maximum base salary range for this position in the location listed. Non-sales positions have the opportunity to participate in a bonus program. Sales positions are eligible for sales incentives, and in some instances a bonus plan, whereby total compensation may far exceed base salary depending on individual performance. Actual compensation offered may vary from posted hiring range based upon geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer.
